Setting up your e-mail program

Email setup for students: Microsoft Outlook (via Control Panel)

This method is the most reliable way to set up your student mailbox in the classic Outlook app (version 2512). It bypasses the automatic wizard and allows you to explicitly enter your TU-ID as your user name.

Step 1: Open Control Panel

1. Close Microsoft Outlook completely.

2. Press the Windows key + R, type “control” and press Enter.

3. Set the view at the top right under “Display” to “Large icons”.

Step 2: Open mail settings directly

1. Locate and click directly on the entry “Mail (Microsoft Outlook)”.

Step 3: Start account setup

1. The “Mail Setup – Outlook” window opens. Click on the “Email Accounts…” button.

2. Click on “New…” in the “Email” tab.

Step 4: Select manual configuration

1. In the next window, select “Manual configuration or additional server types”.

2. Click “Next”.

3. In the next step, select the account type “POP or IMAP".

4. Click “Next”.

Step 5: User and server information

Enter your details exactly as follows. Please ensure that only your <TU ID> is entered in the username field, e.g. ab12cdef (delete the default email address).

  • Your name: Your full name
  • Email address: firstname.lastname@stud.tu-darmstadt.de
  • Account type: IMAP
  • Incoming mail server: imap.stud.tu-darmstadt.de
  • Outgoing mail server (SMTP): smtp.tu-darmstadt.de
  • Username: Your personal <TU ID>, e.g.: ab12cdef
  • Password: Your password for your <TU ID>

Step 6: Adjust additional settings

Click on the “More settings” button and adjust the following two tabs:

“Outgoing mail server” tab:

1. Check the box: The outgoing mail server (SMTP) requires authentication.

2. Select “Log in with” and re-enter your <TU ID> and password.

“Advanced” tab:

1. Incoming mail server (IMAP): Port 993 | Connection: SSL/TLS

2. Outgoing mail server (SMTP): Port 465 | Connection: SSL/TLS

3. Confirm with “OK”.

Step 7: Testing and completion

1. Click “Next” in the main window. Outlook will now perform a connection test.

2. Once the tests have been successfully completed (green ticks), click “Close”.

3. The final confirmation will appear. Click “Finish”.

You can now start Outlook as usual. Your account is ready to use.
