Further changes in the address book of the Zoom X system

Deactivation of contact data search via Zoom Client

For reasons of data economy, the contact data search function in the Zoom Client has been deactivated. The HRZ recommends maintaining and creating personal address books in Zoom X.

At the beginning of 2023 March, the HRZ deleted address books in the Zoom system that were created rather accidentally during the pandemic (see message dated 8 March 2023).

The Zoom system was then migrated to Deutsche Telekom's “Zoom X” platform, meaning that the user database and all user contact details have been stored on Deutsche Telekom servers in Germany since then.

As with all functions of the Zoom X system, the same applies here: Although the native Zoom client is used, there is also a login in the actual Zoom system. However, this is anonymised. Personal data is only processed and stored on Telekom's systems in Germany. As a provider in Germany, Telekom works in accordance with the GDPR.

Contact data search deactivated

In order to increase data economy in the area of students, the search for contact data via the Zoom client has also been deactivated. The deactivation of the search also affects employees, where it is no longer possible to search for employees' email addresses. As this corresponds to the familiar vorname.nachname@tu-darmstadt.de scheme, data minimisation does not increase in the area of employees.

Create and maintain personal address books

As already noted in March 2023 when deleting the address books, we recommend maintaining personal address books, which increase the convenience of using the Zoom video conferencing system. Information can be found directly at Zoom under “Adding and managing Zoom contacts”. The following also applies here: Although the client comes from Zoom, the Zoom data centre used and therefore also the location where the data is stored is a Telekom data centre in Germany.
