The Organisation and Resources department uses internal services to enable the management of the HRZ and the department heads to manage the HRZ, use resources effectively and efficiently, offer services in a transparent and binding manner and communicate internally and externally in a targeted manner.
This includes, in particular, the control and management of financial, personnel and space resources, internal organisational and personnel development and IT training within the HRZ. The approval of business models and the review and approval of contracts are also part of these services. In addition, the department supports the HRZ service portfolio and maintains the service catalogue and service documentation. The services are communicated both on the HRZ website and through targeted communication measures and advertising campaigns.
The Human Resources Management staff unit enables and supports the head of the Organisation and Resources department in managing HR development measures as well as recruiting and on-boarding processes at the HRZ. The staff unit is also responsible for personnel planning and budgeting as well as the allocation of resources.
The team also supports managers and employees from the moment a position becomes vacant, through recruitment and development at the HRZ, to their departure from the organisation.
HR Management is also responsible for the management of applicants and coordinates interviews and interview partners. It prepares the necessary documents such as job descriptions, job advertisements and recruitment-related documents, advises managers and supports them in crisis, conflict and promotion interviews.
The staff unit is also responsible for preparing personnel measures such as swearing in, upgrades and performance incentives as well as managing the HRZ's student assistants and their contracts.
With regard to personnel issues, the HR Management staff unit is the point of contact for employees and managers of the HR Centre and acts as the interface to the Department of Human Resources and Legal Affairs at TU Darmstadt.
The HRZ manages the IT training network at TU Darmstadt. The IT training staff support and supervise the IT trainees and trainers from the selection to the final examination. This also includes the implementation of specific support measures for training content. Among other things, the IT Training staff unit acts as an interface to the Department of Human Resources and Legal Affairs at TU Darmstadt.
In particular, the staff unit supports the trainers in the recruitment process and is responsible for the personnel management of trainees and their training documentation. For example, it ensures compliance with rules and requirements. It acts as a mediator, arbitrator and coordinator between trainees, trainers and the IHK in close coordination with the Department of Human Resources and Legal Affairs at TU Darmstadt.
Training courses, workshops and support measures are designed and implemented according to the training year and training occupation. Individual support measures are also developed as required. In the 3rd year of training in particular, trainees are prepared for their final exams and enabled to write their final theses professionally.
The IT Training department designs awareness measures and training events for the IT training programme at TU Darmstadt and manages its collaborative partnerships..
The Organisation and Communication group is responsible for the HRZ's internal and external communication, the HRZ website and service, project and process management. It enables managers, service managers and employees to work in a structured manner in agreed processes with harmonised documents, to present a uniform image both internally and externally and to provide information to customers and users in a target group-oriented manner.
As part of external communication, the group designs PR measures for customers and users of the HRZ. It develops target group-orientated communication measures and campaigns and advises colleagues at the HRZ on the creation of suitable measures for services and releases these. She is also responsible for the HRZ website, the HRZ newsletter and internal HRZ news. It ensures that the HRZ has a uniform external presence in terms of content and appearance by preparing the content compiled by the specialist groups in a standardised and user-friendly manner. The group also works on improving internal communication with the aim of supporting cooperation within the HRZ and, as a result, strengthening customer orientation. It organises and conducts internal HRZ events such as “Wissen vor Mittag”, the Project Manager Round Table, the Project Exchange, etc.
As part of its support for organisational and service development, it advises managers on service portfolio management at the HRZ and ensures transparency in the introduction of new services and major changes to existing services as part of the defined service development process. It maintains the HRZ service catalogue on the web and prepares the annual report.
In addition, the Organisation and Communication group is responsible for the structure of the service documentation, works with the service managers to create service descriptions and service agreements and provides support with general documents such as the IT user regulations.
The group also maintains the HRZ project area and project lists as well as the supporting templates and documents in the area of project management.
The Administration group is responsible for HRZ controlling, merchandise management, financial accounting, legal and contractual matters, facility management and reception within the HRZ and enables the head of the Organisation and Resources department to make the right decisions with regard to the aforementioned areas of responsibility.
As part of financial accounting and procurement, the Administration group is responsible for auditing, preparatory accounting and contract and procurement management as well as inventory management and the control of inventory processes. In particular, procurers are supported in the awarding of contracts and in legally relevant issues and decisions are prepared by department management. HRZ services are also invoiced here and external invoices are passed on internally within the TU.
As part of controlling, the group is responsible for managing budget applications, planning and budgeting processes and reporting. In order to enable the management of the HRZ and the department heads to manage the HRZ and utilise resources effectively and efficiently, the controlling and reporting tools are constantly being developed further. This includes, in particular, the HRZ's internal digital authorisation processes.
The HRZ's internal locking systems are managed as part of facility management. The group is the point of contact for caretakers, space management and construction with regard to the rooms used by the HRZ. HRZ Reception supports HRZ employees by managing the procurement of office supplies and equipment, room and mail management. It supports the organisation of events and ensures the professional reception of guests.
The group is the interface to Department III – Financial and Economic Affairs of TU Darmstadt, in particular to its units III A – Budget Management and Controlling, III C – Accounts Payable and General Ledger Financial Accounting, III E – Purchasing and Materials Management Procurement Office and Department VII – Human Resources and Legal Affairs.
